Minutes of ASWA Committee Meeting 30th July 2017, Brisbane QLD - 10:10am

1. Conference 2018

Adelaide was the city chosen prior to this meeting as it had good support from all members present at the Conference. It was announced during the Saturday Presentations that Adelaide was to host the AGM in 2018 and it was received with claps from all people present in the room.

It was also agreed that a Sub-Committee be made for anyone who wishes to help organise next years event including those from South Australia.

Options for venue to include Adelaide CBD, with venues that also provide accommodation high on the wish list.

Dates chosen to be 27th to 29th July 2018.

Early Bird tickets to be put up on the website with a discount to encourage people to committ to attend early on. Ideally these would be put up on the website prior to Christmas.

Email reminders for the Conference Location to be sent out monthly, to keep the event fresh in everyone's mind.

 

2. Website

No work had been done on the website over the last 12 months because there was going to be a website to replace it which was bought up at the Committee Meeting in 2016


3. Facebook Page

It was pointed out that there is not enough activity on the Facebook Page. Only 1 or 2 people are actively posting on it which results in no exposure for ASWA.

It is requested that all committee members be active on the Facebook Page, sharing anything that is relevant to Weather and in particular Severe Weather.

 

4. ASWA Kids

Proposal put forward by Dan Seed via Bryan about an ASWA kids website offering Cheap membership, educational material with a Quarterly Newsletter sent out as an educational style pamphlet.

 

5. Membership Perks

Offering ASWA Merchandise as perks for membership. Also doing up our own Storm Spotters Guide to send out to new Members.

Investigate Potential for ASWA Members to get an EWN membership for distribution of warnings via email and SMS (Shane to Investigate)

1. Conference 2014

Good feedback from attendees this year.  People loved the self-catering meals. Many in organisation felt the AGM was in an expensive part of the country. We will need to try to keep the AGM in an area accessible by majority of members. 
 2. Conference 2015
It was unanimous to hold it in Brisbane for 2015 as it is a well known location that has been tried and tested. Either an inner-city AGM or Suburbs AGM will be chosen. This will become clear after AGM committee receives quotes back from various venues. The committee also tentatively agreed to having the 2015 AGM on the 17/18/19 July to coincide with the AMOS conference which occurs only a couples of days prior.
We must have the 2015 AGM organised well prior to the event so to give people maximum chance to take up special flight offers etc.
Anthony Cornelius, David Sercombe, Daniel Seed, and Bryan Juni have offered to take on the task of 2015 ASWA Brisbane AGM.
3. New Committee
Bryan Juni moved the motion that would allow for this year only (2014/15) that members of the 2013/14 Executive Committee be allowed to run again for a position on the Executive Committee without being in attendance of the 2014 Hobart AGM.  It was made very clear that this was a once-off occurrence and the normal ‘rule’ of all executive members being present at the AGM will continue from the 2015 AGM onwards. This was to allow the full formation of the new 2014/15 committee to occur. COmmittee was to find out how much this would cost the organisation and in what capacity we need to change our constitution to allow this.

3. Miscellaneous
Daniel Seed has flagged he has a number of ideas for the organisation for 2014/15 year and beyond. These include but not limited too: more to offer members & bringing back the ‘ASWA Junior’ membership.

1. Conference 2013

Good feedback received from attendees regarding the 2013 conference. Positive feedback from the Trivia setup at dinner. Congrats to Margaret Shannon for putting it all together.

Email from Event Cinemas regarding issues had during the Video Night have been addressed, and we are being compensated accordingly.

All members present agreed that the compensation was adequate and voted in favour of accepting the compensation.

 

2. Conference 2014

Many ideas thrown around for the conference in 2014 including Hobart, Townsville, Melbourne and Adelaide. It was decided to do something a little different and have it in Hobart and have it more family orientated. 

Must get the AGM organised ASAP to give people plenty of time to plan and organise a trip.


3. Membership Costs
ASWA is an organisation for people with an interest in Severe Weather, we provide state meetings and annual conferences that are subsidised for ASWA members. 

 

4. ASWA Mission Statement

The committee reviewed the ASWA Mission Statement which had not been reviewed since they were initially written when ASWA was first started.

1. Conference 2015

Good feedback received from attendees regarding the 2015 conference. Positive feedback from survey.

Suggestions from the survey are for Better organisation of Time Slots for Presentations, Presentations starting on time, Sit Down Dinner.

 

2. Conference 2016

Survey post-conference showed support for Brisbane, Melbourne and Sydney. With Brisbane having the most support. It was decided that Brisbane would be an ideal candidate as it has a large support base and always brings in large crowds.

QMC offered to host the event again next year and this option will be one that is considered, however other locations will be considered in other locations.

August 6th is Ekka weekend so July 31st was decided as the date for the conference.

Minutes of ASWA Committee Meeting 7th August 2011, Canberra ACT - 9:45am

Agenda

Everyone congratulates Greg on a fantastic effort on the Canberra AGM.

1. Conference/AGM 2011

Bryan puts forward that next years conference be a 'no frills' style conference. Reducing costs by excluding the Friday video night as a formal part of the conference and also by doing a banquet style dinner where people who want to attend must RSVP so we can have correct numbers. The Banquet style should almost halve the cost of the dinner.

As far as meeting location it was decided that the 2012 AGM/Conference will be held on the Gold Coast with an expected date of August 4th and 5th. This was unanimously agreed on by meeting attendees.

2. Active Recruitment

For the next few months, state reps are to try and target Universities, Schools and even photo groups for possible new recruits. Some suggestions on ways this could be done are by flyer drops and presentations to groups. This idea was accepted by attendees of the meeting. Progress to be checked on in a few months.

Jane suggested that we send out a survey to current members/put on website/facebook etc to ask opinions on what people want out of ASWA and ways we could improve. This would be done anonymously.

All above topics were accepted by attendees of the meeting.

3. Fund Raising

Ideas put forward:

  • New T-Shirts with a wide range of logo designs via Redbubble (Greg)
  • Calendars done up via Redbubble (Greg)
  • Petrol vouchers as a part of membership (Lee)
  • Raffles
  • Possible annual $250 grant to ASWA from Rio Tinto (Lee)
4. Equipment

Suggested that ASWA purchase a projector and screen (www.justprojectors.com.au) for Darwin so they will be able to host meetings to try and tap into the large population of weather enthusiasts located in the top end. Max and Lennie to obtain quotes and put forward to ASWA committee for approval.

5. AMOS

A goldmine for potential new members. Greg will be presenting ASWA conference introduction video at science week meet in Canberra on August 20 2011, and also possibly presenting at AMOS AGM in January 2012. AMOS has lots of students coming through that might be interested in severe weather and will be keen to jump on board. If ACT state has success, then we can possibly broaden recruitment to further states as AMOS is Australia Wide

6. Website Suggestions

A section where members can upload videos/photos and even storm chase reports on to the website, this would need to be approved by an admin first before it became viewable to the public.

It was also suggested that we could make/pursue someone to make an iPhone app for our current website as a trend is leaning towards people using their phones for the internet rather than using a computer. This could allow people to also upload photos to the website via their phones.

7. Possible Member Joining Incentives

  • DVD with storm chase/video highlights over past years
  • Stickers
  • Vouchers
